I understand that Asha's Farm Sanctuary is a not for profit animal sanctuary and relies solely on donations and fundraising to care for our rescued animals. I also understand Asha's Farm Sanctuary is providing my business/organization an complimentary and unique opportunity to showcase my products and services. Therefore, I agree to abide to the terms outlined in this application.

Please list all websites, online stores (Etsy, etc.), and social media platforms (Facebook, Instagram, TikTok, etc.) or other URLs where your products can be found. Enter one URL per line.

All products and services must be free of animal products and not tested on animals.

Exhibitor and Vendor Agreement

Food Vendors Must Provide

  • If selling perishable food, liability insurance naming Asha's Farm Sanctuary as additional insured with limits of not less than $500,000/$1,000,000 for bodily injury or death and $500,000 for property damage. Please email insurance certificate to tracy@ashasfarmsanctuary.org.
  • If selling perishable food, please contact the Niagara County Health Department to determine if a Temporary Food Permit is required.

Food Policy

No food products may be offered for free or sale unless permission has been given by Asha's Farm Sanctuary. All literature advertising food products must be vegan — no meat, poultry, fish, eggs, milk, cheese, animal parts, byproducts, broth, gelatin, rennet, lard, tallow, whey, casein, or honey. Ingredients must be listed. Printed materials may not promote non-vegan foods.

Non-Food Policy

All non-food items must not have been tested on animals, and must be free of leather, bones, teeth, fur, silk, wool, feathers, pearls, shells, animal or insect body parts, etc. and any animal slaughter derivatives or animal products.

Printed Materials

Printed materials including displays, handouts, flyers, and recipes must not promote non-vegan foods or products. Cookbooks offered for sale must be dairy-free and egg-free.

Language and Communications Policy

In keeping with our family-friendly and Christ-centered environment, we kindly ask that all vendors and exhibitors ensure that signage, displays, product names, marketing materials, and conversations with guests remain free of profanity, vulgarity, or offensive language. By participating, you agree to maintain a warm and respectful atmosphere that aligns with the sanctuary's mission of compassion for all.

Respectful Representation of Animals

All merchandise, signage, displays, and promotional materials must reflect our core belief that every animal is a beloved child of God deserving of reverence. Please ensure that imagery depicts animals with dignity and compassion, avoiding any depictions of hunting, trapping, fishing, rodeos, horseback riding, circuses, animal acts, or any other activity that uses, exploits, harms, or mocks our animal friends.

Application Process

Asha's Farm Sanctuary, a 501(c)3 non-profit organization, welcomes all applications but reserves the right to decline an application. Factors include compatibility with our mission and the need for variety. Vendors promoting the same or very similar products may be declined.

Terms and Conditions Agreement

  1. Asha's Farm Sanctuary reserves the right to accept or decline any applications at its discretion.
  2. Each food vendor must submit an individual application and payment and PROOF OF INSURANCE if required. Spaces may not be combined.
  3. Setup begins at 8:00 AM on Saturday, October 3, 2026. Vendors must be completely set up by 10:00 AM.
  4. Vendors and exhibitors must staff their exhibits during the entire event from 10:00 AM - 2:00 PM. Any Vendors or Exhibitors that take their tents down earlier than 2:00 PM will not be eligible to attend further events.
  5. Vendors and exhibitors are responsible for setup and breakdown of their trucks, spaces, booths, tables, etc.
  6. Vendors and exhibitors must have signage clearly identifying the name of the vendor/exhibitor. Vendors and exhibitors advertising food must have signage clearly listing food offerings they are advertising and prices.
  7. Vendors and exhibitors shall exhibit, sell, or give away food and literature specified in Application.
  8. Vendors and exhibitors shall not sell or give away any food or beverages unless specific permission has been granted by Asha's Farm Sanctuary.
  9. All food advertised must be vegan. Vegan means no animal products: flesh, fat, broth, gelatin, egg, dairy, or honey.
  10. All merchandise sold or given away must be vegan, not tested on animals, and should be as environmentally friendly as possible.
  11. Should any contingency interrupt or prevent the holding of our Cow Fest event, including but not limited to inclement weather, war, terrorism, or lockouts, then Asha's Farm Sanctuary shall in no way will be liable to food vendors. The event will be held rain or shine.
  12. Vendors and exhibitors agree to make no claim for any reason against Asha's Farm Sanctuary for loss, theft, damage, or destruction of goods or for injury to themselves, employees, volunteers, or visitors incurred at the event.

By your online submission of this form, you understand the terms outlined in the Vendor and Exhibitor Conditions of Agreement and agree to abide by them. If for any reason you are not able to uphold to these terms, you agree to forfeit your place at our Cow Fest Festival.
